What this policy covers
This policy applies to MVF TrackLink — both the Android application (“the App”) and the TrackLink browser-based tracking pages used by drivers, brokers, and consignees. TrackLink provides real-time freight visibility: a driver shares the location of a specific load with the broker who booked it, and confirms delivery on-site with a signature and proof-of-delivery photograph.

Data we collect
Collected by the App on the device:
- Precise location (latitude, longitude, GPS accuracy, speed, heading) — collected while a load is actively being tracked, through a foreground service with an ongoing notification visible to the driver. Collection stops when the driver stops tracking or the load is delivered or cancelled. The App does not access location in the background. Required for the App’s core function.
- Delivery-point GPS coordinates — captured when the consignee signs for the load, used to confirm where the delivery occurred.
- Proof of delivery photograph — captured by the driver at the delivery location.
- Electronic delivery signature — drawn on the device screen by the consignee at delivery.
- Consignee printed name — entered on the signature screen.
- Consignee phone number or email address — optional, entered on the signature screen, used to send the consignee a copy of the delivery confirmation.
- Load identifier — a numeric ID linking the data above to a specific load.
Collected via the MyVirtualFleet dispatch platform (web), not by the App:
- Driver phone number — already on file from carrier onboarding; used to send the load tracking SMS.
- Broker name, phone number, and email address — entered by the MVF dispatcher when booking the load; used to send the broker’s tracking link and load notifications.
- Carrier dispatcher contact information — used for load coordination.
The App does not collect: the driver’s name, email, or phone number from the device; the device’s contact list; photos other than the POD photograph; microphone audio; files; browsing history; financial information; health data; advertising identifiers; or any data unrelated to the active load.
Why we collect it
To enable a freight broker to see the real-time location of a truck carrying their load, to deliver the SMS and email tracking links to the driver and broker for that specific load, to capture proof of delivery (signature, photograph, time, and location), to send the consignee a copy of the delivery confirmation if a phone or email is provided, and to enable MVF and the carrier to verify timely service.
We do not use this data for advertising, profiling, or any purpose unrelated to the active load.
Who we share it with
The booking broker. Each load has exactly one broker. Location data, POD photo, signature, and consignee details for a given load are visible only to that broker via a unique TrackLink URL.
The carrier responsible for the load.
The consignee, if a phone or email was provided — they receive a delivery confirmation copy only.
Service providers we rely on:
- Amazon Web Services (data hosting in the United States)
- Twilio (SMS delivery to drivers, brokers, and consignees)
- SendGrid, a Twilio company (email delivery to brokers and consignees)
We do not sell, rent, or share data with advertisers, data brokers, marketing companies, or any third party not listed above.
How long we retain it
Location data, POD photograph, signature, consignee details, and load-specific contact records are retained for thirty (30) days after the load is delivered or cancelled, then deleted from active databases. Backup media may retain deleted records for up to ninety (90) additional days before being purged.
Driver and carrier records on the underlying MyVirtualFleet dispatch platform are governed by the main MVF Privacy Policy.
Security
Tracking sessions are authenticated with a per-load HMAC-signed token. All data is transmitted over HTTPS (TLS 1.2+). Access to stored data is restricted to authorized My Virtual Fleet personnel and the booking broker.
Driver and consignee controls
- Stop tracking at any time via the in-app Stop button.
- Tracking ends automatically when the load is delivered or cancelled. The App removes its persistent notification and stops sending location.
- Uninstall the App at any time.
- Request deletion of any tracking data, contact records, signature data, or POD media by emailing admin@myvirtualfleet.com with the load number or a description of the request. We will respond within thirty (30) days. Consignees may also request a copy of, or deletion of, their own signature, printed name, and contact information at the same address.

Children
The App is intended for adults (18+) — commercial truck drivers, brokers, and consignees acting in a business capacity. It is not directed to children under 18, and we do not knowingly collect data from minors.
Changes to this policy
We may update this policy. Changes will be posted at myvirtualfleet.com/privacy-policy-tracklink with a revised Effective Date.
